Recurring work: one invoice a month
For weekly or biweekly service, bill once a month and show the visits as a count with the dates in the notes. If rain cancelled a visit, leave it off rather than crediting it. Clients notice a visit they paid for that didn't happen much more than a line that isn't there.
Materials by the unit, installed or delivered
Mulch and soil by the cubic yard, stone by the ton, plants by the count. Say whether the price is installed or just delivered. That one word is the difference between a price that looks right and one that looks high.
Sales tax varies more here than in most trades
Some states tax lawn care and landscaping services, some tax only the materials, and some tax neither. Check how your state's department of revenue treats your services, and show the tax on its own line.
Questions landscapers ask
How do I invoice lawn care customers each month?
One invoice per customer per month, with the number of visits, the visit dates, and any extra work that month on separate lines. Autopay by card cuts late payments sharply.
Should landscapers charge for materials separately?
Yes. Showing mulch, stone and plants by the unit makes the labor easy to compare, and lets you price materials to cover the pickup and handling.
