That cost is not in one place. The number is what happened.
Nothing in VanReceipts asks you to forecast a cost. Profit is built from receipts, hours and miles that already exist, so it can be uncomfortable, which is the point.
Logged where the cost happens.
Scan the receipt in the parking lot, in one hand, in daylight, in gloves. Anything that waits for the weekend does not get recorded, and anything not recorded is invisible money.
Read on the device by default.
Receipts are read on your iPhone. Cloud AI itemization exists for faded slips, it is a Pro feature, and it stays off until you switch it on.
Software should not need a training course.
The category standard is a system: dispatch boards, scheduling, payroll, a chart of accounts, a setup call, and a settings screen you need a spare evening to understand. That is a reasonable product for a company with an office manager. It is a bad joke for a person who is the office manager, the estimator, and the one on the ladder.
VanReceipts has no onboarding call, no chart of accounts, and nothing to configure before it is useful. You add a job, you scan a receipt, you get a profit figure. If a feature could not be understood while sitting in a van with the engine running, it did not go in.
The tradeoff is real and worth saying out loud: this is not a field service management suite, and it is not trying to become one.
Things this app will not do to you.
- No invented social proof. There are no star ratings or review counts on this site, because the app is new and has not earned them yet. When there are real ones, they will be the real ones.
- No silent uploads. Receipts are read on your phone. Cloud itemization is a Pro feature that asks once, plainly, and can be turned off in Settings.
- No per seat charge for your crew. Crew labor is part of Pro at one price, however many people you put on a job.
- No cancellation maze. Cancel in your iPhone settings in four taps. No email, no retention call, and your data stays on your device.
- No hostage data. Everything exports to CSV and PDF on the free plan, not just the paid one.
Is VanReceipts right for you?
Being wrong for some people is what makes it right for the rest.
It fits if you:
- Bill by the job, not by the hour on a payroll
- Run solo or with a small crew, and no office
- Have a suspicion that one type of job is quietly losing money
- Are done with the shoebox, the glovebox, and the spreadsheet you stopped updating in March
It does not fit if you:
- Need dispatch, scheduling, payroll or a full field service suite
- Want software to price the job for you, rather than score it afterwards
- Are on Android, or want to work from a desktop browser
If the second list is you, a full field service platform is genuinely the better buy, and you should go get one.
