Plumbing invoices get questioned on time and parts
So make both easy to read.
- Model and serial numbers for anything with a manufacturer warranty: water heaters, disposals, softeners, pumps. You need them for a warranty claim, and the owner needs them to register the unit.
- The trip or service charge on its own line. Folding it into the hourly rate makes the rate look high and invites haggling.
- After-hours rates stated on the line ("emergency call after 6 pm, 1.5x") rather than buried in the total.
- Client-supplied fixtures marked as such. "Faucet supplied by owner, labor warranty only" prevents a warranty argument when a cheap cartridge fails.
Permits and inspection items
Water heater replacements need a permit in many jurisdictions, and inspectors commonly check the expansion tank, the relief valve discharge pipe, venting and seismic strapping where required. Listing those parts on the invoice shows the owner what they paid for and why.
Questions plumbers ask
Should plumbers mark up parts?
Most do. The markup covers the supply-house run, stocking the truck, and standing behind the part. Show parts at your selling price and keep your cost in your own records.
What is the difference between a plumbing invoice and a receipt?
The invoice asks for payment. The receipt confirms it was paid. Many plumbers collect on the spot, so one document does both: an invoice marked paid, with the payment method and date.
