An HVAC quote for one ductless head
An HVAC quote template names one piece of equipment that is already chosen, and one price. The sheet loaded above is a matched indoor head and outdoor condenser, sample model Northwind 12, for one room. Before tax it is $4,660: the equipment $3,800, 15 feet of line set $420, condensate to an existing drain $180, and the pad and whip $260.
There is no second option in the notes. A second room is a different quote. The dollar amounts are round samples so the addition can be checked. They are not a price for the work, and Northwind is not a real manufacturer.
| Line | Amount |
|---|---|
| Matched indoor head and outdoor condenser, Northwind 12 | $3,800 |
| Line set, 15 ft | $420 |
| Condensate to an existing drain | $180 |
| Pad and whip | $260 |
| Quote before tax | $4,660 |
The date on the sheet is the end of the offer. A deposit of $1,000 is due when the offer is accepted, because that model is ordered for the job. The deposit is a term of this offer. Acceptance is the signature line, or a written reply that names this quote.
Opening the refrigerant circuit
EPA's Section 608 questions and answers say that adding or removing refrigerant from a mini-split during installation, and connecting or disconnecting hoses or pre-charged lines, requires Section 608 certification (read October 15, 2026). The same rule is summarized at epa.gov/section608. This ductless install connects the line set, so the certification applies. The return button does not open the circuit. Patch and paint on that return are outside its $570.
A condenser, and a rooftop unit
The condenser button is $2,580: a Northwind 36 condenser $2,400, with the air handler staying, plus a new disconnect and whip $180. The line set is reused. A new air handler is outside the price. If the circuit is opened, Section 608 certification applies here too. A full heat pump and air handler, with a second option in the notes, is the HVAC estimate template.
The rooftop button is a packaged heat pump on the existing curb, $7,250: the unit $5,400, a half day of crane $900, a curb adapter $650, and the crane path $300. A new curb is outside it. A no-cool repair, with a capacitor, a contactor, and refrigerant by the pound, is the HVAC invoice template.
Where a home-improvement deposit rule applies
Where the work is a home improvement, California's writing rule and down payment cap are on the construction quote template. Other states write their own rules. The $1,000 deposit on this sample is a term of the offer. This page is not legal advice. More forms are on the templates page.

Questions HVAC techs ask
What is an HVAC quote template?+
An HVAC quote template is a fixed price for equipment you have already chosen, with a date the offer ends and a line for the client to accept it. The one-room ductless sheet here is $4,660 before tax for sample model Northwind 12. There is no second option. The dollars are samples so the math can be checked, not a price for the work.
What should an HVAC quote include?+
The model, what stays and what is replaced, the date the offer ends, any deposit, and a place for acceptance. On this ductless sample the deposit is $1,000, due when the offer is accepted, because the model is ordered for the job.
Who can connect a mini-split?+
EPA's Section 608 questions and answers say that adding or removing refrigerant from a mini-split during installation, and connecting or disconnecting hoses or pre-charged lines, requires Section 608 certification. This page is not legal advice.
Can I download an HVAC quote template as Word or Excel?+
Yes. The quote you fill in downloads as a PDF in three designs, and as a Word file and an Excel file.
